Job Responsibility
To assist Production Manager to take control of the assigned orders, monitor materials delivery on time for
production, track WIP and weekly shipping schedule to ship order on time and in full quantity.
Job Duties
1. Compliance
• Follow the company rules and regulations.
• Establish 7S workplace standards at all times (Sort, Set in order, Shine, Standardize, Sustain, Safety, Spirit).
2. Maintenance & Lean Thinking
• Ensure Total Preventive Maintenance on equipment, machinery, and tools. Report defective tools or malfunctioning machines to the Sewing Trims Store Quality Supervisor.
• Cultivate Lean thinking to eliminate waste in work processes, focusing on the 8 wastes: Transportation, Inventory, Motion, Waiting, Overproduction, Over-processing, Defects, and Employee talent utilization.
3. Order Tracking & Communication
• Study the Merchandiser Order Tracker and purchasing progress in Apparel-EZI. Communicate daily with the Merchandiser to clarify T&A.
• Work closely with the Merchandiser to get the latest updates on order approvals and material delivery dates in ERP-EZI, helping the planner execute production planning.
• Receive Manufacturing Instructions (MI) in Apparel-EZI and update T&A for planners to adjust the production plan.
4. Order Briefings & Meetings
• Organize briefings with the Merchandiser to discuss order details, product execution, and buyer requirements.
• Organize Pre-Production meetings with relevant managers and Merchandisers, including reviewing MI for clear instructions in EZI production in multiple languages (Local, Chinese, English).
• Discuss critical aspects like:
• Matching parts and trims.
• Proper fabric & embellishment testing.
• Efficient cutting process and methodology.
• Right handling, machinery, and sewing methods to meet quality standards.
• Efficient packing processes to meet customer demands.
5. Materials Management
• Track actual materials arrival dates, coordinating with shipping and suppliers to ensure timely delivery for production.
• Review fabric quantity in ERP Material Tracker and ensure maximum fabric utilization.
• Follow up on fabric testing readiness for QA approval in ERP-EZI.
• Coordinate with Pattern & Marker Technicians to prepare cut plans for production approval.
• Review order cutting reports and communicate shortages or additional needs to the Production Manager and Merchandiser.
• Track and manage fabric scraps and ensure proper replacement of needed colors and sizes.
6. Sewing Trims & Packaging Materials
• Review Sewing Trims & Packaging Materials received and ensure quantities meet order requirements in ERP material tracker.
• Follow up on Matching Trims Card and Picklist matching materials approval for production.
• Ensure Sewing Trims & Packaging Materials conform to specifications and buyer requirements.
• Notify Merchandisers of any non-conforming materials and work with the Production Manager to provide solutions.
• Track bin movement in the PMS planning process.
7. Order Progress & Production Monitoring
• Monitor and update the weekly shipping schedule, ensuring data accuracy.
• Disseminate revised order quantities and product quality standards to relevant parties.
• Track production status across all stages (cut-sew-finish-packing-carton-embellishment) in ERP-EZI.
• Work with planners and Production Managers to revise planning when needed.
• Manage outsourcing partners and ensure smooth production and payment processes.
• Propose leftover garment options to maximize earnings.
• Resolve alerts from ERP on materials shortages or undercutting issues.
8. Embellishment & Wet Process Coordination
• Work with embellishment service providers to reserve production space and track WIP to support continuity.
• Arrange touch-up work or replacement of defective panels.
• Ensure timely delivery and approval of TOP samples before production starts.
9. Quality Assurance & Inspections
• Provide QA files to Buyer Quality Auditors and schedule inspections.
• Update inspection results in the shipment schedule, ensuring quick action on failed inspections.
• Monitor packing lists in Apparel-EZI, ensuring orders meet buyer specifications.
10. Handling Leftovers & Inventory
• After shipments, manage leftover garments, fabric, sewing trims, and packaging materials by updating ERP-EZI and coordinating storage, reuse, or disposal.
• Ensure reusable trims are transferred for other orders, and non-reusable trims are disposed of properly.
11. Additional Responsibilities
• Perform other tasks as assigned by management.
Requirements
• Diploma or courses in Fashion or Apparel related field.
• Passionate in the apparel industrial and with at least 5 years’ Apparel work experience or above.
• A strong communicator with excellent spoken and written English, Chinese (Mandarin) is advantage
• Proficiency in computer, Microsoft Word/ Excel, ERP and other office applications.
• Strong management, planning & organization skills, able to multi-task in fast paced environment and work under tight deadlines.
• Highly motivated, self-initiated, customer-oriented, willing to achieve objectives with clear vision.
• Presentable, responsible, result-oriented and a good team player and interpersonal skills.
• Have a strong sense of urgency, immediately report with options and resolution.
• Mature, hardworking, energetic, outgoing and able to work independently.
